We’re Hiring: Coordinator of Affiliate Services, Pittsburgh, PA

Job Description:

We are looking for an organized, efficient, and skilled individual who is self-motivated, professional, has excellent communication skills, is detail oriented, and is capable of working independently.

The Coordinator of Affiliate Services will report directly to the Executive Director and will assume the primary responsibility of building and strengthening our state affiliates across the country. This will include working with staff, as well as passionate volunteers at both the committee and state levels. Increasing membership at the state level will be a strong focus of this position through developing outreach materials, developing recruitment and retention messages, and exploring outreach possibilities via interactions with other organizations. Managing membership services (database management monitoring, solicitation); assisting with annual conference planning for the affiliates at the national conference; and facilitating strong communications at every level are keys to the success of this position. This position represents a national non-profit organization and as such it requires professional, positive, and productive relationships with our state affiliates as well as other outside organizations. Travel is expected to be approximately one-fourth to one-third of the work, with the possibility of meetings scheduled in the evening or on a weekend based on volunteer availability.

Responsibilities: Supporting and/or starting state/local affiliates (travel required); increasing membership; membership services; conference planning support; facilitating communications; support of committees.

Qualifications:

Either a Bachelor’s degree or higher in non-profit organization management, communications, liberal arts, social service, education, or related fields.

Or three or more years of working experience with a non-profit organization(s). This experience should include organization of committees and Boards; working with volunteers; training; maintaining and increasing membership; and fundraising and development.

Experience in public relations, public speaking, developing presentations, and working with the media is desired but not required. Computer skills are required. Experience working with a membership database, the backend of websites, and the Gmail suite of products is desired.

The individual must be willing to travel about one-third or more of the time to work directly with state and local affiliate organizations throughout the United States.

Responsibilities:

  1.  Support and/or Start State and Local Affiliates

Based on level of need, offer technical assistance to state affiliates as requested.

  • Develop a plan of action and assist in the formation or revitalization of at least 10 state affiliates.
  • Assist state affiliates in increasing their operational capacity through technical assistance in membership development, fundraising, leadership training,etc.
  • Assist each affiliate in doing a needs assessment relating to the maximum successful operation of that affiliate.
  • Work with each affiliate to develop those needs identified. Examples of such needs might include Board development, membership activities, establishing communications and media abilities, development, newsletters, and conferences.
  • Attend state conferences and meet personally with state boards and staff.
  • Provide marketing and public relations support to affiliates including assistance with developing and disseminating press releases, eblasts, and social media.
  • Encourage and assist affiliates in maintaining an up-to-date website.
  • Assist affiliates in creating a social media presence.
  • Respond to needs of local affiliates as appropriate and as time allows.
  • Match affiliates in need with affiliates having expertise in area of need.
  1.  Increase Membership

     Assist staff and Affiliate Support & Membership Committee in efforts to increase membership.

  • Determine member demographics and interest areas via surveys and focus groups.
  • Develop innovative ways for affiliates to reach their potential membership base.
  • With the Affiliate Support & Membership Committee, develop targeted membership recruitment and retention messages.
  • Develop new member outreach materials in print and online.
  • Explore outreach possibilities and expand potential member base via interactions with other organizations.
  • Recruit members.
  1. Membership Services

Act as primary liaison between LDA national office and the state and local affiliate members.

  • Monitor membership solicitation, renewal, and registration processes to assure smooth operations.
  • Monitor membership database management to assure currency and accuracy.
  • Respond to requests for membership information or assistance from state and local affiliates and from individual members as needed.
  • Publish a Monthly Membership Report to be distributed to the staff, Board, Committee Chairs, and affiliates.
  • Certify Delegates to the Annual Assembly of Delegates.
  1. Conference Planning

Support affiliate involvement in regional and national conferences and through these opportunities train LDA leaders in requisite skills and knowledge.

  • With the Affiliate Support & Membership Committee, develop content for affiliate programs at both regional meetings, National Conference, and other workshops as needed.
  • Manage logistics, publicize, and participate in affiliate activities at regional and national meetings.
  • Support Affiliate Support & Membership Committee leaders in planning, implementing, and evaluating program activities.
  1. Facilitate Communications

Maintain strong communications between national and affiliates and report to Board.

  • Keep the President, Board of Directors, and Executive Director informed and current on the status and operations of each of the state and local affiliates.
  • Prepare and deliver Affiliate Support Report at three Board meetings.
  • Report regularly on Affiliate Support activities to funder.
  • Maintain regular and periodic communications with all state and local affiliates as appropriate via email, telephone, social media, Get Response newsletters, etc.
  • Maintain the affiliate intraweb.
  • Create downloadable templates and content to support state and local affiliates newsletter, brochure, and other media production.
  1. Support to Assigned Committees

Provide administrative support to the Affiliate Support & Membership Committee.

  • Coordinate with Committee Chair to develop meeting dates and times and notify committee members.
  • Work with Committee Chair to develop meeting agenda and required support documents.
  • Support volunteers in follow-up activities,including processing and circulating notes/minutes of the meeting and any other necessary correspondence.
